Use cases

Use cases, from a single cafe to a group of hotels.

ScanRoster is built for hospitality first and used by shift-based teams worldwide. Here is how each kind of operation puts it to work.

Hotels

Several departments, around the clock. Front office, housekeeping, food and beverage, kitchen and maintenance each run their own rota under one roof. Overnight shifts cross midnight, and housekeeping hours swing with occupancy.

  • Rosters by department, with skills such as a food-hygiene certificate required where they apply
  • Overnight shifts recorded as one shift, not two broken ones
  • Reliability by department, so one team’s pattern is not averaged away

Restaurants, cafes and bars

Split shifts and the 6am call-off. Lunch and dinner services, split shifts, a small team where one missing person changes the night. Most of the week’s admin is the rota and the hours.

  • A missed shift flagged after the grace period, with a ranked shortlist of who can cover
  • New starters added at the door in seconds with quick add
  • Breaks recorded at check-out, so paid hours are right the first time

Event and banqueting teams

Large crews, short notice. Crews that grow for a weekend and shrink on Monday, many of them casual, arriving at once for a load-in.

  • A whole crew imported from a spreadsheet in one step
  • Near-simultaneous check-ins at one door, each on the person’s own phone
  • Casual staff paid on verified hours rather than a signed sheet

Staffing and agency operations

Your people, someone else’s venue. Staff placed across client sites, where the proof of hours is what gets invoiced and paid.

  • A check-in code per site, so each record says where the hours were worked
  • Location and time checks on every scan, with exceptions flagged in words
  • Hours and pay that stand up when a client queries them

Multi-venue groups

Many sites, one view. Groups running venues in different cities, and sometimes different countries, with different rules and currencies.

  • Each venue in its own timezone, currency and labour rules
  • Managers scoped to the venues they run; owners see everything
  • Analytics per venue or across the group

Hospitality first, and why that still helps everyone else

ScanRoster was built in a working restaurant, and hospitality is where it is most at home. That shapes the product in ways that matter elsewhere too: it assumes shifts cross midnight, that staff move between venues, that the signal is poor in the back of the building and that the person you need is often the one who did not turn up.

Any shift-based operation with those problems can use it. What it is not designed for is salaried office work with no shifts, no venue and no need to prove where time was spent.

One product, anywhere

ScanRoster is used worldwide, and every venue runs on the rules of the country it is in. Labour rule sets ship for the United Kingdom, the United Arab Emirates, the United States, Australia, Italy and Bangladesh, and hours are recorded in each venue’s own timezone and paid in its own currency.
